* Effective birth date for all categories is December 31st so the Athlete’s age is the age they will turn on their Birthday within this calendar year.

One Week Trial has insurance from BC Athletics for TRAINING ONLY (Athlete may not compete until Membership Package is Purchased) NOTE: if you are approved and choose to train in a group that is an age level higher, you will be subject to the higher fees

Due to insurance rules, all athletes must have a paid Valley Royals Membership to participate with a Royals training group. A $27.50 one-week trial membership is available for athletes new to the Royals and wanting to check out a training group before buying the full membership but is not available for the 2024 Summer Sessions of Junior Development or Track Rascals.

  • Single-Season Memberships are available for the TRACK & FIELD/Spring-Summer SEASON ONLY or CROSS COUNTRY/Fall SEASON ONLY(Please note: If you select the Spring-Summer Season and later decided to come back in the Fall Season you will need to contact the club Administrator to register & pay for the Fall Season. Moving up to the Full Year Membership will not be possible at that point. Its the best deal to choose the Full Year option at the start of the year 
  • $27.50 INTRODUCTORY WEEK available to athletes that are new to the Valley Royals (see ***INTRO SPECIAL*** below for details)
  • New members must supply a copy of their birth certificate to the Club Administrator (either in person or by emailing a photo or scan of the document)
  • Athletes ages 14 and up can move between groups or attend more than one group if approved to do so
  • Age is calculated as of Dec.31st of the year you are registering for

Intro Special

$27.50 INTRODUCTORY WEEK: For just $27.50 (fee covers insurance for training only, not competing) a new athlete gets the chance to attend one week of practices before deciding to join and pay in full (Use Online Registration to select this option) . This option can be used only once and is only available to athletes who are new to the Valley Royals Track & Field Club. NOTE: The intro special is not available for JD or Track Rascals.

What a Valley Royals Track & Field Club membership (not $27.50 intro) provides:

Membership Includes:

  • access to training groups
  • subsidized club clothing
  • award at annual banquet
  • team fees paid for BC or Canadian team members
  • Entry Fees paid by Club for up to 3 events/races at the “BC Track & Field Championships”(BC Athletics)
  • Entry Fee paid by Club for race at “BC Cross Country Championships”(BC Athletics)

Not Included in Membership: 

  • volunteer expectations
  • Entry-fees for competitions/events
  • BC Athletics Membership: mandatory for club membership (the BC Athletics Fee provides the necessary insurance coverage for the athlete)
  • Special exception for athletes enrolled in University: All Entry fees are included in the Club Membership and only a small number of Volunteer Hours are required of University Athletes.

Volunteer Deposit

A postdated cheque (November 30th of calendar year) in the amount of $200.00 will be required (families with more than one athlete in the club add $50 per each additional athlete to their cheque total). This cheque will not be cashed if the volunteer hours requirement is met within the calendar year.  If paying registration by credit card, no deposit cheque is needed–instead, credit card will not be billed if volunteer hours are met within the calendar year. Club FundRaising Activities:

  • Track meets, cross country meets and road races hosted by Valley Royals
  • Fundraisers throughout the year that may be approved by the Directors of the Club

Uniforms:

  • Club uniform “singlets” must be worn to competitions entered via club
  • Athletes buy their singlet at ordering time and can try on a sample size to check the fit
  • Specialized uniforms/hoodies available on request

Volunteers are essential to the operation of the club and help to keep operating costs affordable. Family members, relatives, friends and/or the athlete are able to fulfill the volunteer time requirement (includes helping with meet hosting, organizing or helping with a fundraising event, organizing social functions, helping to set up or take down at meets we host, selling at a concession, supervising parking for the Grand Prix, being a Course Marshall so that athletes know they are on the right path in a race etc.) Some families choose to have multiple family members working at an event–adding up their volunteer hours faster and having fun serving together! 

How do I volunteer?

NUMBER OF VOLUNTEER HOURS REQUIRED:

  • FULL YEAR Athletes (All Ages): 20 volunteer hours required annually
  • Jan – July Season Athletes (14+): 12 volunteer hours required annually
  • JDs in Track & Field ONLY (8-13): 12 volunteer hours required annually
  • Fall Season Athletes (14+): 8 volunteer hours required annually
  • JDs in Cross Country ONLY (8-13): 6 volunteer hours required annually
  • Additional Athlete(s) from the same family: 8 volunteer hours required annually (if registering for a FULL YEAR) or 5 volunteer hours required annually (if registering for a SINGLE SEASON) The first athlete in a family is the athlete with the highest volunteer expectations and the rest of the athletes in a family are “additional athletes”
  • Athletes Enrolled in Post-Secondary College or University: 4 volunteer hours are required annually
  • Athletes belonging to a different Track & Field Club & training with the Royals: volunteer hours are not required 

Volunteer time is tracked by our Club Administrator, Christa McAuley dcmcauley@hotmail.ca so be sure to email her let her know how you have volunteered in the club and the number of hours you have served. Some events, such as the Grand Prix, have a sign-in/out page for volunteers so be sure to sign the page and make note of your hours served.

Volunteer time is calculated on the calendar year and cannot be carried forward from one year to the next.

How do I volunteer?

There are many ways to volunteer, especially when the club is hosting a Track Meet or Cross Country Race, but the best way to find a great fit for you and your family is to email Christa at dcmcauley@hotmail.ca and let her know things that you are good at. She can place the athlete, parent and/or other family members into volunteer opportunities that work well. 

Can you organize a Fundraiser? This much-needed volunteer role is more challenging and gets all of your family’s athletes Volunteer Hours accomplished for the entire year.

How about photographing athletes at Meets? Could you help with set-up for the Grand Prix? How about monitoring the cross country race course as a Course Marshall so that athletes stay on the right trail?  Do you have a knack for numbers and finances? Do you need an at-home volunteer job like addressing envelopes? Email Christa and she will make sure you get scheduled.

Volunteer hours “deposit” by cheque:

A $200 cheque post-dated for November 30th of this calendar year will be required as a deposit and will not be cashed if the volunteer time is fulfilled within the calendar year. This is a flat rate for all athletes regardless of the registration package they choose.  

Multiple athletes in one family:

To be considered from the same family, athletes must have the same parents/guardians in their online registration.

Families with more than one athlete training with the Valley Royals are required to volunteer the designated amount of time for the highest ranked athlete in terms of volunteer hours expectations plus 8 hours for each additional FULL YEAR athlete (or 5 hours for single-season athletes).

For Example: If a family has a 16 year old athlete training from January to July and a JD athlete training for the Track & Field season ONLY. The volunteer hours that will be required of this family will be 12 hours for the Jan-July 16 year old athlete and 5 hours for the single-season JD athlete for a family total of 17 hours.
